We tried to capture a lot of the core activities including
the Program staff’s roles at St. Christopher House and how we use the
current communication tools. We
talked about the community sweep concept to get feedback. We talked about
other needs like program information, and community needs. It was
frustrating because a tool that that would do everything we wanted to do
wasn’t there. We chose a few tools, which we had to use together in
order to replicate the activities that we do. |

We got excited about the concept of a library. We all have
lots of information that exists only in each of our heads. We can transfer
that valuable information into this file and then have that accessible
online for everyone to use. This aspect is very big, there’s a lot there
to work with. We’ll have the history of the house there and it will all be
organized and easy to use. There are lots of possibilities, but we have to be able to test and explore to be able to say this is really a good thing.

Video streaming would be useful because we can put reports
from conferences online so that if people haven’t attended, they can
have access to that information. We can also have digital file storage so,
for example, if people lose their identification, we can store it online
digitally and then we wouldn’t have to go through the lengthy process or
creating that information again. People could still access services.
This would also be great for resumes as well.

A number of tools are potentially useful in this area. Message boards and forums would be valuable but we had questions come up about monitoring them. Maybe only certain types of discussions would be allowed. Web mail would also be good but people didn’t want to feel obligated to check mail while they are at home. The question came up whether it would create more work. Newsletters were viewed as a good idea. User profile database was good but also brought up a lot of questions. Online feedback once again seemed like a good idea. Video streaming means taping an event and broadcasting it
live. It’s a bit complicated but it’s relatively easy to record an
event and have it stored for people to access whenever they want. Mailing lists integrated with newsletters is a good idea, and an event calendar also would work. |

About registration, we talked about what you could register
for and the concern about how it would work to have web registrants not
have priority over in person registrants. There is also a big issue and
need for translation. |

We tried to role play the different kinds of administration
for each staff. Across the different functions, the agenda tool was the
priority, although, for people off site, it might not work.

The benefits would be saving an enormous amount of time,
money and space. You just have to look at Argyle to see that space is such
an issue. This would also mean we could do real time documentation, which
means not doing everything twice, and repeating information. It also
encourages us, as well as the community to become more computer literate.

It might reduce the number of uncommitted volunteers.
Sometimes, potential volunteers don’t have access to the right
information ahead of time. This means they come in with their own
motivations, don’t understand time implications or don’t understand
that they would have to go through a big process before they start working
and they lose interest in volunteering.
It would be great to have better access to that kind of
information.

We discuss sector trends in meetings or sometimes in emails. By having this online, it would increase and improve our knowledge. Our services could be improved by having improved feedback access. |

There is a fear of increased duplication. We already generate
lots of email. There is a fear of staff overload. We could look at
developing an email policy to avoid that and also make sure the product
meets the needs of the program staff and participants. |

We concentrated on life long learning, empowerment, 24-hour
information access, community building and reduced isolation. It would be
a good place to share history and each other’s information. It would be
interesting to have a senior’s diary or web mail for them to connect
with their families or grandchildren.

We thought about file sharing. One of the ideas was if people
want to create a page, they could keep their own information there.
Also, we want to be able to share photos. We have lots and we want
to give people access to them.
