It’s time for a quick check. We use a very scientific
method here to do this. We use our thumbs to indicate whether or not we are
on track. Let’s see how well we are progressing toward our objectives. At
this point in time, are we directionally correct?
Give us ‘a thumbs up’ to indicate that we’re on track and turn
it sideways to show you’re not quite so sure.
Show ‘a thumbs down’ if you think we’re totally off track.
Well, we have a lot of positive thumbs up and some unsure,
but that’s ok.
Let’s talk about the work we have to do. Our facilitation
team, and your sponsor team met last night and looked at all the information
that came out yesterday. We came up with a potential list of working groups
for today.
You will all pick where you’d like to work today. We
thought that there was probably a group to work on CLN model and
sustainability. Embedded in this are questions around process changes that
will have to happen. You’ll
have to talk about the transformation that the organization has to go
through to support the system too. It’s
clear that we don’t want this to be extra work attached on to what you
already do.
We won’t solve all of this today but address the issues,
and know what you have to work on the coming months.
Next we have to work on what e-community development is and
why we need to work on it. It’s a core piece in all of our jobs at St.
Christopher House. It’s a new way of looking at community development. We
want to think about how we can use the web to increase our community
interaction overall.
The next group is Program delivery/e-learning and
interactivity, specifically for volunteers.
Since Program Delivery is so huge, we need a group to look at
it from different points of view. The
point of view of ‘one to the group’ and a team for ‘one to one’ and
finally a group for Administrative Streamlining.
Shelley:
So, look at the buckets, is there anything else that we need
to add or change?
Group:
Where do the privacy and security issues fit? Is this an
issue for The Working Group? It’s a part of the sustainability model.
TWG:
St. Christopher House has to give us guidelines for what
should be online and who should be admitted. We can provide security online.
This is really an issue for every group to look at and
provide privacy guidelines and allowed access between different user groups
to certain information. It’s
really got to be looked at a program level too to make sure we have the
necessary level of detail. For example, we won’t have photo access in
Maria’s Alzheimer’s group because people need written permission from
the participants’ family before taking a picture.
The Working Group can configure the tools for each room. It’s
important to capture the required special needs that we have to accommodate.
We can do it, but we need the information.
Group:
We won’t be discussing things like the look of a page or
the colours of the site at this point. Also, we should keep the open issues
form each group out there so we can resolve or overcome them. Training is
also an open issue. Workload and database issues have to be a part of the
sustainability group but again, each team has to look at that in their group
and ask the questions- Who will do this work and be responsible for it?
I want to add an issue. The outreach potential is such that
we are suddenly going to get a whole lot more interest that we don’t
necessarily have the staff or infrastructure to handle. We are no longer the
small neighbourhood House. There
have to be changes. Judi has just laid out a very alarming issue. What’s
the experience of other organizations that have done this?
To answer that question, I don’t think we’ll have a
sudden increase in users. It
also comes down to the tools that we introduce first. There are all kinds of
decisions that feed into this. For example, if it’s decided that most of
the tools that are implemented first are internal, that issue won’t come
up. It really depends on what you decide you need.
